Press Release Writing

A press release also commonly known as news release is a written statement regarding businesses, organizations, politics, entertainment, sports or personal news distributed to the media. Therefore in order to encourage the journalists on a particular subject the press release is being designed.  

Writing a press release is not different from writing a document. The content of the article written is formatted and certain rules are applied to ensure that all important information is been included in it to avoid leaving any negative impact on the reader.

Uses of press release:

  • The basics that a reporter needs to develop his news story are being provided by a press release.
  • A press release is a statement through which a variety of items like scheduled events, personal promotions, awards, news products and services, sales, accomplishments etc……, can be announced.
  • A press release highlights what is interesting and newsworthy about your company or organization.

Steps to write a press release:

  1. A press release should always start with a brief, clear, attractive and formatted headline, with the most appealing keyword as this is one way through which you can attract the reader.
  2. Subheads are remarkably useful tools as it gives you the opportunity to flesh out your angle and further hook the reporter, without stepping on the drama of the press release headline.
  3. The subject of the press release should always start with the date and city of origination.
  4. The news story must be written in simple language. The first paragraph should summarize the press release and the further should explain it in detail using actual facts, events, plans, projects, services etc…..
  5. A press release should highlight the important points such as who, when, what, where, why and how, which are commonly referred to as the 5W’s and H of a press release.
  6. Information pertaining to the company like the name of the company, description of the company, its business policy, the website or the URL link and some extra information about the press release must to be included.
  7. To make the press release news worthy contact details needs to be provided.
  8. A press release should be signaled with three #, centered directly under the last line of the release.

Apart from these it is necessary that the press release should be brief and grammatically correct. Keep away from all kinds of extra fluff words that can change the true meaning of the new story. Avoid content that may bring some conflicts to the release. Lastly check your release for punctuation and grammatical errors.
